What you'll accomplish
By the end of this guide, you'll have Otter.ai set up to automatically transcribe your lender rep visits, product provider training calls, AFIP study sessions, and any other learning content you encounter. Instead of forgetting 80% of what you heard, you'll have a searchable written record of every training you attend.
What you'll need
Go to otter.ai and click "Sign up for free." Use your email or sign in with Google.
What you should see: You land on a dashboard showing "My Conversations" (empty for now). Troubleshooting: If you have trouble accessing otter.ai from your work network, try on your phone's data connection instead.
Search "Otter.ai" in the App Store or Google Play. Install it on your phone. Sign in with the same account.
What you should see: The app shows the same "My Conversations" view with a large record button.
For any call you take on your desk phone or personal cell — a lender rep visit, a product provider webinar, a coaching call — open Otter on your phone and tap the red record button before the call starts. Set your phone face-down next to the speaker.
What you should see: Otter shows a live transcription appearing on screen in real-time as people speak. Troubleshooting: If the transcription quality is poor, move your phone closer to the speaker. Otter works best in a quiet environment with clear audio.
Tap the stop button when the call ends. Otter will process the recording and finish the transcription within a few minutes.
What you should see: The conversation appears in "My Conversations" with full text and a summary.
Otter automatically generates a short summary of the key points from the conversation. Tap the "Summary" tab.
What you should see: A bullet-point list of the main topics discussed, key decisions or action items mentioned, and any names or figures that came up.
Back in your Otter dashboard, click the search bar. Type any term you're trying to find — a lender name, a product feature, a compliance term. Otter searches across all your transcribed conversations.
What you should see: Results showing every conversation where that term was mentioned, with the exact timestamp where it came up.
